RESOLUTION OF THE BOARD OF SUPERVISORS OF BUTTE COUNTY APPROVING THE
MICROFILMING OR DESTRUCTION OF CERTAIN PERSONNEL DEPARTMENT RECORDS,
DOCUMENTS, AND PAPERS, PURSUANT TO SECTIONS 26201, 26202, AND 26202.6 OF
THE CALIFORNIA GOVERNMENT CODE OF THE STATE OF CALIFORNIA.
WHEREAS, the Director -Personnel has submitted a request for authority to microfilm
and/or destroy obsolete records and;
WHEREAS, said request is in accordance with the procedures and requirements of Sections
26201, 26202, and 26202.6 of the California Government Code and;
WHEREAS, The Director -Personnel has stipulated the useful retention period of the
Personnel Department records;
NOW, THEREFORE, BE IT RESOLVED BY THE BOARD OF SUPERVISORS OF BUTTE
COUNTY:
1. The following County records, documents, instruments, books or papers are no longer
required and maybe microfilmed and/or destroyed.
(a) Duplicates and/or originals of Salary Ordinances which are more than five years old.
(b) Duplicates and/or originals of Board of Supervisors agenda requests which are more
than five years old.
(c) Duplicates and/or originals of Memoranda of Understanding which are more than
five years old.
(d) Duplicates and/or originals of Personnel Rules which are more than five years old.
(e) Duplicates and/or originals of discrimination/sexual harassment complaints which
are more than two years old providing such documents are not evidence in any
pending complaints.
(f) Duplicates and/or originals of Personnel Appeals Commission -
GrievanceslArbitration hearings which are more than two years old providing such
documents are not evidence in any pending claims.
(g) Duplicates andlor originals of Personnel Department correspondence which are
more than two years old.
2. The following County records, documents, instruments, books or papers are no longer
required and may be microfilmed and originals destroyed.
(a) Originals of personnel files for former employees {letter A-Z) which are more than five
years past the date of the employee separation.
PASSED AND ADOPTED by the Board of Supervisors of the County of Butte this
