BUTTE COUNTY VOICEMAIL AUTO-ATTENDANT POLICY
WHEREAS, the 1997-98 Butte County Grand Jury Final Report included findings and
recommendations regarding the County's need to establish a voicemail auto-attendant policy; and
WHEREAS, the Butte County Information Systems Director met with Management
Council on October 28, 1998, and the Information Systems Policy Committee (ISPC) on
November 10, 1998, to discuss and review the development of a countywide voicemail auto-
attendant policy; and
WHEREAS, customer service enhancements continue to be a high priority of the Board of
Supervisors.
NOW, THEREFORE, BE IT RESOLVF,D by the Butte County Board of Supervisors
that the following voicemail auto-attendant policy shall be implemented far all Butte County
publicly accessible voicemail auto-attendants in operation as well as any future publicly accessible
voicemail auto-attendants developed for Butte County Offices and related operations:
Every Butte County Department currently utilizing voicemail auto-attendant is required to
identify, in writing, its "publicly accessible" numbers that will become part of the
documentation kept in the Communications Division of the Information Systems
Department.
Il. Every publicly accessible voicemail auto-attendant will be required to provide the ability to
reach a staff' member by pressing '0' (zera). "This option will give the caller the ability to
speak to a designated employee(s) during that particular department's normal business
hours.
III. Every publicly accessible voicemail aLrto-attendant will be required to have verbiage that
will include. at a minimum, that particular department's normal working hours, public
accessible address (where appropriate), and voicemail box where a message can be
delivered for a response during normal working hours.
IV. Every Butte County Department requesting a new voicemail auto-attendant will review the
Voicemail Policy and sign a copy, which will become part of the documentation of that
particular voicemail auto-attendant kept in the Communications Division of the
Information Systems Department.
PASSED AND ADOPTED by the Butte County Board of Supervisors this 11 `~' day of
May 1999 by the following vote:
AYES: Supervisors Beeler, Floux, Josassen, Davis and Chair Dolan
NOES: None
ABSENT: None
NOT VOTING: None
